Terms and Conditions

TheatreLand Camp Ltd

These Terms and Conditions (“Terms”) are between TheatreLand Camp Limited (“we” or “us”) and you and are effective from the date received by you. The Terms relate to TheatreLand Camp (“Camp”). 

Booking arrangements and payment

1. You will need to fill out a booking form to secure your place. You must make sure that all the details filled in are correct and up-to-date. Your child’s place is only confirmed once we have received full payment and we have confirmed your place in writing. Please check your booking confirmation once received, taking notice of the date booked, location, your child’s details and any extras. Responsibility of all booking details lies with the person who made the booking.

2. If you have paid but have not yet received confirmation, this may be because your child’s place is not available, and we may instead make arrangements to run a waiting list. You will be entitled to a refund if this occurs and if you don’t wish to remain on the waiting list.

Camp Arrangements

1.  Start time and pick-up time of Camp will be emailed to you before Camp begins. It is crucial that you collect your child at the time that is specified in the information email that will be sent prior to the start of Camp. We reserve the right to impose a charge of up to 50% of the daily camp rate if you are more than 10 minutes late to pick up your child.

 2. You must let us know in writing by emailing theatrelandcamp@gmail.com if someone other than the parent/guardian stated in the submission form is going to collect your child. 

3. We have a strict NO NUTS policy at Camp. Parents/guardians must ensure that packed lunches have been checked for nuts. We may undertake random checks and will remove any food that could create a danger to other children.

4. Our staff are DBS checked and there will be at least one member of staff on site who is first aid trained.

5. Please do not bring any valuable items such as mobile phones, jewellery etc to Camp. We cannot be held responsible for the loss of, or damage to, any items or personal possessions. 

6. There will be a performance at the end of the week for parents/guardians to watch. Depending on the size of the room available for this performance, we may ask that only one parent/guardian per child comes to the performance.

7. Those attending the performance are allowed to take videos and photos. Theatreland asks that any videos and photos showing someone else's child is not shared publicly, including on social media, although TheatreLand cannot guarantee this. 

Health and Safety

1. In the event of an emergency, we will endeavour to contact the designated emergency contact number as soon as is reasonably possible.  

2. In the event that your child requires medical treatment during his/her visit to Camp, we will act as we consider necessary.  

3. Parents/guardians are responsible to state in writing any health conditions or injuries that may impact participating children during their time at Camp. Students participate at their own risk.

4. Participation in activities requires individuals to be in good health and have a reasonable basic level of fitness and a willingness to take part. 

5. If your child is injured during Camp, they must let a member of staff know immediately. 

6. Staff are entitled to use plasters, cleansing wipes and can support them in changing their clothes in the event of them becoming wet or soiled due to an accident unless stated otherwise on your booking form. 

7. Children are required to be fully toilet trained and out of nappies prior to attending Camp. We reserve the right to exclude a child if during their time at Camp in our opinion this is not the case, based on multiple toilet accidents during their time on Camp. 

8. We are entitled to supply your child with sun cream that they will apply to themselves in hot weather unless stated otherwise on your booking form.

9. We do not tolerate under any circumstances any antisocial behaviour, bullying, exclusion or any behaviour that is disruptive to the other children or staff. If your child is showing signs of the behaviour described, you will be telephoned, and your child will not be able to attend Camp anymore. You must arrange for your child to be collected as soon as reasonably possible from when we contact you. You will not be refunded. We reserve the right to exclude children from Camp at our discretion.

Liability

1. We make every effort to minimise risk to participants. We only accept liability for physical injury to a participant that directly results from our negligence.

2. You acknowledge that other loss, damage and expense (including without limitation, loss of money, loss or damage to clothes and possessions, losses arising on the cancellation of a booking and the harm caused other than by our negligence) however arising is not our responsibility  and our liability is hereby limited.

3. In no event shall we be liable for any indirect, consequential or special loss howsoever arising (whether from breach of contract, tort (including negligence), breach of statutory duty or otherwise), whether or not such loss was foreseeable. 

4. In no event shall our cumulative liability, whether in contract, tort (including negligence), breach of statutory duty or otherwise, arising out of or relating to Camp exceed the total fee paid by you for your child’s attendance at Camp. 

5. Notwithstanding anything to the contrary in these Terms, our liability for any of the following is not excluded or limited: (i) for death or personal injury caused by negligence; (ii) for fraudulent misrepresentation or for any other fraudulent act or omission; and/or (iii) for any other liability which may not lawfully be excluded or limited. 


Cancellation & Other Circumstances

1. If you need to cancel your child’s place up to 14 days before the Camp, you will be given a 100% refund minus a £10 admin fee.

2. If you need to cancel your child’s place within the 14 days prior to the Camp you will be given a 50% refund minus a £10 admin fee.

3. If you need to cancel your child’s place within 24 hours prior to Camp, there will be no refund given. 

4. If you need to cancel your child’s place once camp has already started there will be no refund given.

5. In the unlikely event that Camp has to cancel the event before it commences (e.g. due to operational considerations or matters beyond our control), or if Camp cannot fulfil your child’s place after booking confirmation has been made, then any costs already paid by you will be refunded in full. In such circumstances we will inform you as soon as reasonably possible. 

6. Only in exceptional circumstances such as bereavement of an immediate family member (parent/guardian or Sibling) will you be entitled to a full refund. This does not include ailments, injuries or choosing not to continue the camp for personal reasons.

7. We do not accept swapping another child in your child's place for any reason. This is due to security reasons and the fairness of our waiting list.

8. If you decide to miss one or more Camp day due to a holiday, special occasion, or your child becomes unwell, the day will not be refunded.

9. We reserve the right to substitute alternative facilities of reasonably equal or better standard without prior notice or liability and without any alteration to the price. 

Photography & Video Consent

We may take photographs and/or video recordings of children participating in our holiday camp activities. These images and recordings are solely for internal purposes, such as:

  • sharing with the parents/guardians

  • staff training and reflection

  • internal records and safeguarding purposes

    images and videos will not be shared publicly, posted on social medial, used in marketing materials, or distributed outside staff and parents/guardians without additional, explicit consent.

    By ticking the consent box on the registration form, parents/guardians confirm that they give permission for their child to be photographed and/or filmed for the internal purposes outlined above. Consent may be withdrawn at any time by notifying us in writing.

    Third-Party Services Clause:

If a third-party service provider, such as a face painter, is engaged to provide services during the children's performing arts camp, it is understood that such third-party service providers operate independently and are not affiliated with TheatreLand. While we make efforts to ensure the quality and safety of any third-party services offered, TheatreLand is not responsible or liable for any injuries, skin allergies, adverse reactions, or other incidents that may arise from the use of such third-party services.

Parents/guardians acknowledge and agree that any claims or issues related to the services provided by third-party vendors, including but not limited to face painters, must be directed to the third-party service provider. Any liability for injuries, skin reactions, or other issues will be covered by the third-party service provider's insurance. Parents/guardians are encouraged to inquire directly with the third-party provider about their insurance coverage and safety practices before allowing their child to participate in these services.
